1. Who We Are

Project Midlands LLC ("Project Midlands," "we," "us," or "our") operates projectmidlands.tech and its related Services. These may include HOPE Toolkit®, HOPE Civics, the HOPE Civics Compliance Line, CivCraft, Business Tools, Consulting, the Project Midlands Consumer Understanding Engine, and other current Project Midlands services.

This Privacy Policy describes what information we collect, how we use it, when we may share it, and the choices you have.

2. Information You Give Us

Contact Information

When you use our general contact form, we collect:

• Organization, if you provide one
• Your message

Business Tools Information

When you start a Business Tool setup, we collect:

• Your name and email
• Your business name and type
• Information specific to the tool you are setting up, such as your services, customer types, business rules, and communication style

Consulting Information

When you submit a Consulting request, we collect:

• Your name and email
• Your organization's name, type, and industry
• The problem you want help with
• What kind of help you are looking for
• Information about any existing process or system involved
• Your confirmation that you are authorized to share the information in the request

Early Access Information

When you join an Early Access list, we collect:

• Your name and email
• Your organization, if you provide one
• What you are interested in, if you tell us

We only collect what is described above. We do not collect information you are not asked for.

3. HOPE Civics and Civic Information

HOPE Civics tools, including the HOPE Civics Compliance Line, are designed to help you find the elected officials or government offices responsible for an issue you care about.

Using these tools may involve providing location information, such as an address, so we can identify the right representative or office for your area. This information is used for that purpose.

Project Midlands civic tools are not official government services. Time-sensitive public information, such as election deadlines or legislative details, should be independently verified.

4. Meeting Recording and Transcription

With appropriate notice and consent, Project Midlands may use recording or transcription tools during video or audio meetings. The purpose is to help us focus on the conversation and accurately understand your needs, instead of relying only on handwritten notes.

Recordings or transcripts may be used to:

• Understand your business or project needs
• Prepare notes and identify follow-up items
• Confirm requirements discussed during the meeting
• Develop agreed services, workflows, or recommendations
• Reduce misunderstandings about what was discussed

You will be told before recording or transcription begins, and appropriate consent will be requested. You may decline. When reasonably possible, the meeting can continue without those tools.

5. AI Processing

Some Project Midlands Services may use artificial intelligence to help process the information you provide, when necessary to deliver the service you requested.

AI may help:

• Organize information
• Analyze information
• Draft communications
• Identify patterns
• Suggest next steps
• Review customer interactions
• Support business decision-making

AI-generated interpretations are not guaranteed to be correct, and they are not proven facts.

6. Project Midlands Consumer Understanding Engine

The Project Midlands Consumer Understanding Engine is designed to help businesses better understand consumer interactions, using information that has been appropriately provided or authorized.

It may consider information such as:

• Observable behavior
• Communication patterns
• Customer effort
• Trust signals
• Possible needs
• Behavioral changes
• Customer journey context

The Consumer Understanding Engine does not read minds. Its interpretations are not proven facts about a person's thoughts, motives, emotions, personality, mental health, or intentions.

7. Information Collected Automatically

Our hosting provider may automatically log basic technical information when you visit our site, such as browser type, device type, general location based on IP address, and the date and time of your visit. This is standard technical information collected by most web hosting infrastructure.

We do not currently use cookies, analytics tools, or advertising pixels to track your activity across our site or other websites.

8. How We Use Information

We use the information described above to:

• Provide the Services you request
• Respond to your messages
• Review Business Tool setup requests
• Review Consulting requests before agreeing to take on a project
• Configure the solution you requested
• Provide customer support
• Help route you to the correct official or office through HOPE Civics tools

• Prepare notes from meetings, when recording or transcription is used
• Improve Project Midlands products and methods
• Protect Project Midlands and our users

9. Continuous Learning and Product Improvement

Project Midlands may improve its tools, workflows, and methods over time. Where appropriate and consistent with this Privacy Policy, applicable notice, permission, and law, we may use feedback, usage information, product-performance information, and outcome information to do this.

One client's confidential business information does not automatically become available to another client. We do not turn one client's private business rules, customer records, pricing, or other confidential information into another client's business material.

10. How We Share Information

We do not currently process payments through this website. As our Services grow, categories of service providers we may use include hosting providers, AI service providers, email providers, payment providers, video meeting providers, and transcription providers. We will keep this section accurate as our actual use of these providers changes.

We may also share information:

• When required by law or legal process
• To address fraud, security threats, or misuse
• To protect the rights, property, or safety of Project Midlands or others
• When you specifically direct or authorize us to

11. Civic Communications

HOPE Civics tools are designed to help you identify the right official or office and provide you with suggested contact information or a script. You are the one who contacts the official, using the information the tool provides.

Information you independently choose to send to a government office is governed by that office's own policies and any applicable public-records laws, not by this Privacy Policy.

If a future Project Midlands feature sends information to an official on your behalf, we will provide clear notice about that at the time.

12. Sale or Sharing of Personal Information

Project Midlands does not sell personal information for money.

We also do not use cookies, tracking pixels, or advertising technology that would share your information with advertisers or data brokers. If that changes, we will update this policy and provide any notice required by law.

13. Payments

Project Midlands does not currently process payments through this website. If we add checkout or subscription functionality in the future, payment information will be handled by a third-party payment provider, and we will update this section to accurately describe that provider and what information they receive. Project Midlands does not store full payment-card information.

14. Data Retention

We keep information only as long as reasonably necessary for purposes such as providing our Services, maintaining business records, resolving disputes, protecting our rights, and meeting legal obligations.

15. Security

Project Midlands takes reasonable steps appropriate to the nature of our Services to help protect the information you provide. No online system can be guaranteed to be completely secure.

16. Privacy Choices and Requests

You may contact us at hello@projectmidlands.tech to ask about accessing, correcting, or deleting the information you have given us. What rights are available to you may depend on the law that applies to you, and we may need to verify your identity before responding to a request.

17. Children's Privacy

Our Services are not directed to children under 13, and we do not knowingly collect personal information online directly from children under 13 without appropriate parental authorization. If we learn that we have collected information from a child under 13 without appropriate authorization, we will take reasonable steps to address it.

18. Third-Party Websites

Our Services may link to independent websites, such as government websites, elected officials' contact pages, or other external resources. Project Midlands does not control these independent websites and is not responsible for their privacy practices. We encourage you to review the privacy policy of any website you visit.

19. Changes to the Privacy Policy

We may update this Privacy Policy as our Services and information practices change. We will update the date at the top of this page when we do. Where required by law, we will provide additional notice of material changes.
